Site progress verification, records and change control: make field evidence commercially usable

How daily records, quantities, inspections and field changes can support payment, variation, EOT and final-account decisions instead of becoming disconnected archives.

Site records create value only when they answer later commercial and contractual questions. Daily reports should therefore capture location, activity, labour, plant, quantities, weather where relevant, instructions, access conditions, interruptions, inspections and unusual events with enough specificity to connect the record to a programme activity or BOQ item.

Progress measurement should use agreed rules and traceable evidence. Quantity sheets, survey records, inspection requests, test certificates, photographs and approved drawings should support the reported percentage. This reduces disputes over whether work was physically complete, compliant, measurable or certifiable at a given cut-off date.

Field changes need a controlled event trail. The first observation should identify the changed condition or instruction, followed by notice status, design response, quotation/valuation route, programme effect and implementation status. A field change that bypasses this trail can become technically embedded before its commercial position is understood.

The objective is one evidence chain from site event to progress, payment, variation, delay and final account. When construction, planning, QS and contract teams use the same event identifiers and records, the project avoids parallel narratives about what actually happened.
